System of Record (SoR)

The authoritative source for a given data element; after retirement, an archive often becomes the system of record for the retired application's data.

What Is a System of Record?

A system of record is the authoritative source for a particular piece of data. When two systems disagree about a customer’s address, an employee’s start date, or a ledger balance, the system of record is the one that wins. Typically the ERP is the system of record for financial data, the HR platform for employee data, and the CRM for customer relationships.

Retirement changes the answer. When an application is switched off, the historical data it held still needs an authority. In most decommissioning programs the archive takes over that role for the retired application’s data.

An archive acting as system of record has to be demonstrably complete, unaltered, and traceable to its source. For regulated firms, such as broker-dealers, books-and-records rules like SEC Rule 17a-4 set explicit expectations for how records are preserved and retrieved. Auditors and courts will ask the same questions regardless: is this the real record, and how do you know?

Key Points

  • One authority per data element. Ambiguity about which system is authoritative is how conflicting numbers reach the board.
  • Retirement transfers the role. The archive inherits authority for the retired application’s historical data.
  • Trust has to be evidenced. Reconciliation reports, audit trails, and access logs show the archived record matches the source.
  • Immutability matters. An authoritative record that can be edited is not authoritative. Controls should prevent alteration and log every access.
  • References must be repointed. Downstream reports, processes, and documents that cited the old system need to resolve to the archive.

Common Use Cases

Historical financials

Closed-period ledgers from a retired ERP are queried during audits. The archive is the source auditors are pointed to.

Employment history

Tenure, compensation, and position history from a retired HR platform is retrieved for verification requests and disputes.

Contract and customer records

A commercial dispute turns on what a customer agreed to years ago. The archived record is the reference both parties rely on.

System of Record vs. Related Concepts

Authority is what separates a system of record from other places data lives.

SYSTEM OF ENGAGEMENT

The user-facing application where work happens. It may be the system of record for some data and merely a working copy for others.

DATA WAREHOUSE

A derived, integrated copy built for analysis. Warehouse figures are traced back to the system of record, and never the other way around.

MASTER DATA MANAGEMENT

The governance practice of keeping shared reference data consistent across systems. It designates authoritative sources. The system of record is the source designated.
